§ 1 General Provisions

1. These Rules set out the terms and conditions of the Cosplay Competition, hereinafter referred to as the “Competition”, which will take place on 12.09.2026 in Białystok during Moricon 2026, hereinafter referred to as the “Convention”.
2. The Competition is organised by Fundacja Wielka Żaba, entered in the Polish National Court Register under KRS number 0001136398, hereinafter referred to as the “Organiser”.
3. The Competition will be judged by a Jury appointed by the Organiser. The Competition does not constitute a game of chance, betting or a promotional lottery whose outcome depends on chance or a draw within the meaning of Article 2 of the Act of 19 November 2009 on Gambling (Dz.U. 2009 nr 201 poz. 1540).
4. Competition participants are required to prepare a costume and present it on stage during the Competition and before the Jury.

§ 2 Conditions of Participation in the Competition

1. The Cosplay Competition is open to any natural person who, no later than on the date on which the Competition begins:
   1. has read the Moricon 2026 Safety Rules and Regulations and these Cosplay Competition Rules and has accepted their provisions;
   2. is an adult or is at least 16 years old and has the consent of their legal guardian to participate in the Competition;
   3. is a fully accredited participant of the Convention; loss of accreditation due to a breach of the Convention Safety Rules will result in exclusion from the Competition;
   4. has a costume representing a character from a comic book, film, book, television series, computer game, cartoon, animated work or another work of culture; in special cases approved by the Organiser, an original creation consistent with the relevant genre or style may be permitted;
   5. does not have costume elements that constitute a dangerous object within the meaning of § 3(1) of the Moricon 2026 Safety Rules and Regulations, unless the element is a properly secured and marked replica brought onto the event premises solely for the purposes of the Competition, following prior notification to and approval by the Organiser;
   6. has entered a costume that has not won the main prize in any cosplay competition held in Poland in the current year or during the preceding five years, is not a modified version of a costume that has won the main prize in any cosplay competition held in Poland, and was not created for commercial purposes as part of a business activity conducted by the Participant.
2. Participation in the Competition is voluntary. By entering the Cosplay Competition, the Participant accepts all provisions of these Rules.
3. Participants are encouraged to make their costumes themselves, although this is not mandatory. If a costume has not been made by the Participant, the Participant will be assessed only on their stage performance. To be considered self-made, a costume must meet the following criteria:
   1. at least 60% of the costume must have been made personally by the Participant; all purchased elements and elements not made personally by the Participant must be disclosed in the application form;
   2. the costume may contain elements produced using machine-assisted techniques, such as fabric printing or 3D printing; the application form must state whether the relevant pattern or model was created personally by the Participant.
4. The Participant must inform the Jury of any costume elements not made personally by the Participant, even if that information was previously included in the application.
5. Online applications for the Competition must be submitted by 28.08.2026 using the application form available on the Convention’s website.
6. The application must contain all information and materials required in the application form.
7. Submission of an application constitutes consent to the Organiser’s processing of the personal data included in the form.
8. No later than 01.09.2026, after the form has been completed, the Organiser will inform the applicant whether the application has been accepted or rejected and whether any corrections are required.
9. Group applications are permitted. A group application must be submitted by a member selected by the group, and the Organiser will communicate with that person.
10. A solo performance must last between one and two minutes. A group performance must last between one and four minutes. At the Participant’s request, the Organiser may extend the duration of a performance in special and justified circumstances.
11. After informing the Participant, the Organiser reserves the right to require amendments to the performance script. This applies in particular to the duration of the performance and the props used during it.
12. The Organiser reserves the right to reject an application that breaches these Rules, is incomplete, is unsuitable for minors, encourages the commission of a criminal offence and/or contains depictions of criminal conduct.
13. Information contained in an application submitted by a Participant may be amended by contacting the relevant email address no later than the end of 05.09.2026.
14. If a Participant is absent from the Competition’s dress rehearsal, their costume presentation will not be admitted to the Competition.
15. No later than 08.09.2026, all Participants will be informed of the time and place of the Competition, including the Rehearsal and the Jury Round.

§ 3 Conduct of the Competition

1. The Competition consists of:
   1. the Jury Round;
   2. the Cosplay Rehearsal;
   3. the Cosplay Gala.
2. The Jury Round and the Rehearsal preceding the Gala are mandatory for every Participant. Absence will be treated as withdrawal from the Competition. A Participant who is a speaker or another contributor to the Convention programme must inform the Organiser accordingly. In such circumstances, the Organiser may make alternative arrangements to prevent the Participant’s absence from resulting in disqualification.
3. During the Jury Round, each Participant’s costume will be assessed by the Jury on the basis of an interview and visual inspection.
4. During the Gala, in the presence of the audience:
   1. the host will introduce the Participant;
   2. the Participant will present their costume in the scene described in their application;
   3. the Participant must follow the script submitted to the Organiser before the Gala.
5. The inclusion in a performance of elements that have not been previously approved by the Organiser and that may pose a threat to the safety of other persons or violate accepted standards of conduct may constitute grounds for disqualification from the Competition.
6. The use of loose materials, liquids or other elements that may require the stage to be restored to its previous condition after the performance is also prohibited, in order to avoid delays to the remainder of the Competition.
7. The Participant is liable for material damage caused by circumstances attributable to the Participant.

§ 4 Prizes

1. The Jury will take the following criteria into account:
   1. the costume’s conformity with its source material;
   2. the costume’s technical craftsmanship;
   3. the stage performance;
   4. the audience’s reaction.
2. Costumes not made personally by the Participant will not be assessed for costume craftsmanship.
3. The Jury will award three cash prizes:
   1. the Grand Prix—the main prize awarded on the basis of the total score—of PLN 1000;
   2. the Best Costume Craftsmanship Award of PLN 300;
   3. the Best Stage Performance Award of PLN 300.
4. In addition to the prizes referred to in point 3, the following may also be awarded:
   1. a Jury Member’s Special Mention—a non-cash prize of symbolic value;
   2. the Audience Award—a cash prize of PLN 300.
5. Each Jury member may grant a Special Mention to one Participant who has not received any of the preceding prizes. Granting such a Special Mention is optional, and Jury members are not required to exercise this right during the Competition.
6. Before the Competition is decided, the Organiser may add further non-cash prizes to the prize pool. The addition of prizes will not affect the rules governing the prizes already specified in these Rules or otherwise place Participants in a less favourable position.
7. The Audience Award will be decided using a voting form completed by members of the audience. If a winner of any of the three prizes referred to above also receives the highest number of audience votes, the Audience Award will be granted to the Participant with the next-highest number of audience votes. Each audience member may cast one vote. The Organiser may reject duplicate votes, automatically generated votes and votes cast in breach of the voting rules.
8. The Jury’s artistic and technical assessment is final. This provision does not exclude a Participant’s right to submit a complaint concerning a breach of these Rules or to pursue claims under applicable law.
9. In the case of a group application, the prize is awarded jointly to the members of the group. In the application form, the group members must appoint a representative authorised to receive the prize on their behalf. The Organiser is not responsible for the subsequent division of the prize among the group members.
10. Non-cash prizes provided by a sponsor will be announced by the Organiser on the Convention’s website.
11. The Organiser is responsible for funding and awarding the prizes specified in these Rules.
12. The Organiser is responsible for fulfilling the tax obligations associated with the awarding of prizes. Where the value of a cash prize gives rise to a tax liability, the Organiser will deduct the appropriate amount from the prize in order to fulfil the applicable tax obligations.

§ 5 Warnings and Disqualification

1. Depending on the seriousness of the infringement, the Organiser may issue a warning or disqualify a Participant by refusing to allow them to continue participating in the current edition of the Competition, excluding them from the final results or requiring them to leave the backstage area immediately. The Organiser may also refuse to admit the Participant to subsequent editions of the Competition and/or withdraw an awarded prize and title.
2. The Organiser may issue a warning or disqualify a Participant in the following circumstances:
   1. the Participant has intentionally destroyed or damaged a costume, prop or stage decoration belonging to another person participating in the Competition;
   2. the Participant has engaged in unsportsmanlike conduct, including, in particular, disrespectful behaviour towards other Competition participants or Convention staff;
   3. the Participant has used verbal or physical violence against another Convention participant, guest or staff member;
   4. the Participant has failed to attend the Jury Round, the Rehearsal or their stage performance without giving a reason, or has attributed the absence to their own negligence, such as failing to complete the costume on time, changing their mind, the withdrawal of some group members or failure to prepare for the stage performance. This provision does not apply to persons who experience serious health problems or unforeseen circumstances preventing them from continuing their participation;
   5. the Participant has concealed material information concerning the costume being assessed.
3. Every warning or disqualification will be considered individually by the Organiser.

§ 6 Participants’ Personal Data

1. The controller of personal data is Fundacja Wielka Żaba, with its registered office in Poznań at ul. Bukowska 122B/10, 60-398 Poznań, entered in the register of associations, other social and professional organisations, foundations and independent public healthcare institutions of the National Court Register by the District Court in Poznań, 8th Commercial Division of the National Court Register, under KRS number 0001136398.
2. Personal data is processed on the basis of consent and the Controller’s legitimate interest in carrying out its statutory activities, organising the Competition, registering Participants, delivering Competition prizes, communicating with Participants, considering complaints and pursuing claims. The following data is collected: first name and surname, date of birth, telephone number, email address, correspondence address and image.
3. Providing data is voluntary; however, refusal makes it impossible to register the Participant.
4. Participants’ personal data may be transferred to the Controller’s partners to the extent necessary for the proper implementation of the Convention, in accordance with security standards. Participants’ personal data may be transferred outside the EEA to trusted partners providing internet services and holding appropriate security certificates. Participants will be duly informed of such cases.
5. The Participant has the right to access their data, request rectification, erasure, or restriction of processing. Participants may also exercise the right to object to data processing by the Controller and the right to data portability to another data controller. Where voluntary consent has been given, the Participant has the right to withdraw consent to processing at any time, without affecting the lawfulness of processing carried out on the basis of consent before its withdrawal.
6. Personal data will be processed for the duration of the application process and for five years after that process has ended for archival purposes, or until consent is withdrawn. Once that period has expired or consent has been withdrawn, the data will be effectively erased from the Controller’s databases.
7. The Controller ensures the Participant’s right to access their data, request rectification, erasure, restriction of processing, object to data processing, and transfer data to another data controller. Where voluntary consent has been given, the Participant has the right to withdraw consent to processing at any time, without affecting the lawfulness of processing carried out on the basis of consent before its withdrawal.
8. The Participant has the right to lodge a complaint concerning the processing of personal data with the President of the Personal Data Protection Office.
9. The Controller does not conduct automated data processing or profiling.
10. In matters concerning personal data, the Participant has the right to contact the Controller at the following email address: kontakt@wielkazaba.pl.
11. The Organisers inform Participants that the Competition may be photographed by persons working with the Organisers. Consequently, persons appearing at the Competition may be recorded using audiovisual technology, and their images may be disseminated as part of a larger whole.
12. If a Participant’s image is captured in audiovisual material, the Participant consents to the processing and use of their image for the purpose of promoting the Convention. The image may be used on its own or together with other images on the social media channels of the event or of entities working with the Organisers. The Organisers will take into account the Participant’s dignity, age and any other factors that may affect their privacy. Consent may be withdrawn at any time by contacting kontakt@moricon.pl.

§ 7 Final Provisions

1. The Organiser reserves the right to:
   1. change the application deadlines, provided that information about the change is published in advance on the Convention’s website;
   2. amend these Rules, provided that Participants are informed using the methods specified above and by email;
   3. select applications on the basis of their quality, completeness and correctness, particularly if an excessive number of applications is received;
   4. amend these Rules for the following reasons:
      1. where an amendment is necessary due to a change in generally applicable law or because a provision of these Rules has been found to be unlawful or prohibited—to the extent necessary as a result; or
      2. where an amendment is necessary to comply with a final court judgment or a decision of an administrative authority.
2. By entering the Competition and submitting the application form, the Participant confirms that they have read the rules contained in these Rules and agrees to comply with them.
3. The Moricon 2026 Safety Rules and Regulations remain applicable, particularly the provisions governing the use and processing of Participants’ images.
4. Any matters not governed by these Rules are subject to the provisions of the Polish Civil Code.
5. The present rules have been concluded in two languages - Polish and English. In case of any discrepancies between the language versions, the Polish version will be binding.
